Is your database a ‘candidate graveyard?’
This is one of the most significant dysfunctions in agency recruitment.
And has been for years.
Here it is;
Where a recruitment agency fills a job order, and the successful candidate is sourced from a job board or LinkedIn, in at least 50% of cases, that candidate was already in that recruitment agency’s database.
Do you grasp the magnitude of that farcical inefficiency?
- The ATS/CRM is out of date
- Recruiters do not code candidates at the start
- There are no updates or ‘data refresh.’
- Recruiter don’t know how to search their database
- Leaders don’t train their recruiters on database use
- Managers do not hold people accountable for database maintenance
- Recruiters default to ‘run an ad‘ because it is a habit and it ‘keeps them busy’.
So, the candidate is right there, interviewed, assessed, and ready to move forward, but recruiters often ignore that. Instead, they run an Ad (at a significant cost), get flooded with irrelevant resumes, and eventually find one suitable candidate after many hours of work—and s/he was already known to them!
Yes, you are proud of your database of 100,000 senior financial candidates, but most of them are ‘dead‘. Well, dead to you because you can’t find them, and you do not know their status
Your precious resource is left to rot! It’s a candidate graveyard!
It is tragi-comic how much recruiters spend on candidate acquisition and how much time is spent on assessing applications when the perfect candidate was ‘theirs‘ already!
Now we have fresh research from Recruiterflow, which suggests that 70% of recruiter company data becomes stale every year.

Here is the summary of the impact of outdated data on key recruitment metrics.

A lot of this is due to a lack of recruiters’ compliance and lazy administration. It also falls short due to a lack of candidate engagement and inadequate database search skills. However, there is also a problem with legacy ATS systems, which lack proper AI integration.
And above all, as always, it is a leadership failing. (Here is the eBook that will really help)
There is a massive amount of industry banter about where AI fits into the recruiter role. This ‘dirty data’ dysfunction is an area where AI Agents can augment the work of a skilled recruiter
A good AI Agents operate like a digital twin — one that performs tasks and makes decisions autonomously. Think of an AI agent as a teammate who:
- Monitors contact data constantly
- Alerts you when a contact moves jobs
- Updates your CRM at 3 a.m.
- Suggests who to pitch — what, when, and why
- Track profiles continuously, searching for updates
- Will update your database autonomously
- Can take bulk engagement actions seeking fresh updates
One of the simple but powerful benefits of AI agents that I love is ‘Job Change Alerts’. Put simply, Job Change Alerts is like a digital employee sitting in your account, working 24*7 to keep your candidate and contact database up to date. to date. It detects when people in your database switch jobs and notifies you about it. (The free eBook HERE, explains all)

Recruiting is evolving, and so must the way we treat data. Operating with outdated data isn’t only inefficient, but also expensive.
The question is no longer if you need better data visibility—it’s whether your current systems are built to deliver it.
In this new era, the edge goes to recruiters who not only move fast but also move first.
My friends at Recruiterflow have produced an outstanding eBook to help you solve these problems
